The challenge
Running a popular London bakery means managing a constant flow of Shopify orders across multiple distinct product lines - hand-crafted layer cakes, cupcakes in dozens of flavours, cookies and brownies. Add multiple collection points across the city, and the daily morning routine before a single tray went into the oven had become exhausting.
Every evening a member of the team would open the Shopify dashboard, filter by collection date and location, and manually tally each product line into a spreadsheet. On a busy week, this process alone consumed over two hours a day - time that belonged in the kitchen, not in front of a screen.
Occasional counting errors also crept in, leading to awkward moments where a customer arrived to collect a cake that simply hadn’t been made. For a bakery that had earned a Great Taste Gold Award on the strength of its quality and care, even a single missed order felt unacceptable.
The solution
Baking List connected directly to the bakery’s Shopify store. Once configured with their product catalogue - mapping each Shopify variant to the correct bake - it began pulling order data into a clear, printable production list. The team could also add occasional non-Shopify orders manually and include them in the same totals.
The list is broken down by product type and, crucially, by collection location. The team can see at a glance how many of each item to bake and where each batch needs to be allocated, with far less spreadsheet counting and cross-referencing.
The results
- Over two hours reclaimed on typical production days - time now spent baking, not tallying.
- Fewer missed or miscounted items reported since going live with Baking List.
- Collection location breakdown makes it easier to allocate bakes to the correct pickup points.
- The whole team works from the same shared list, reducing handover misses and duplicate checks.
